Who we are

LaunchPilot is operated by Traclin Pte Ltd, a company registered in Singapore ("we", "us"). LaunchPilot is an AI marketing assistant that prepares marketing work — finding contacts, drafting emails, writing content — which you review and approve before anything is sent or published.

For the personal data described in this policy, Traclin Pte Ltd is the data controller, except for the contact data you bring into the service, which is covered in section 5.

What we collect

Account data

When you create an account we collect your email address and an encrypted form of your password. We never store your password in readable form.

Startup profile

The information you enter about your product, your goals, and your ideal customer. The AI uses this to decide what work to prepare for you.

Connected account credentials

Access tokens for services you connect (such as your email account) and API keys for third-party tools you choose to use. These are stored encrypted and are used only to perform actions you have approved.

Usage data

Records of what the agent did on your behalf: actions prepared, approvals given, emails sent, and errors encountered. This is what powers your activity log.

Support messages

If you write to us through the contact form or the in-app support section, we keep your message and email address so we can reply.

Google user data

If you connect a Google account, LaunchPilot requests the minimum access needed to do its job:

  • Send email on your behalf (gmail.send) — used exclusively to deliver outreach emails that you have explicitly approved, from your own address, so replies come back to your inbox.
  • Your email address (userinfo.email) — used to show you which account is connected.
What we do not do. LaunchPilot does not read your mailbox, does not access existing messages, does not scan your contacts, and does not delete or modify anything in your account. We request no read access to your email at all.

We do not use Google user data for advertising, we do not sell it, and we do not use it to train machine learning models. The content of approved emails is transmitted through Google's API for the sole purpose of sending them.

Limited Use disclosure. LaunchPilot's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

You can disconnect your Google account from LaunchPilot at any time in the app, and revoke access directly from your Google Account permissions page. Revoking access stops all sending immediately.

Why we process your data

We process your data to provide the service you signed up for: preparing marketing work, sending what you approve, and keeping a record you can review. This is necessary for the performance of our contract with you.

We also process limited data to keep the service secure and working (preventing abuse, diagnosing errors), which is our legitimate interest, and to meet legal and accounting obligations.

To generate drafts and suggestions, we send relevant parts of your startup profile and task context to our AI provider. We do not send your email credentials or your mailbox contents.

Contact data you bring into LaunchPilot

When you use LaunchPilot to find or import contacts, you are introducing personal data about other people into the service. For that data:

  • You are the controller and decide why and how it is used.
  • We are the processor, acting on your instructions to store it, score it, and prepare messages you approve.
  • You are responsible for having a lawful basis to contact those people, and for complying with the outreach and marketing rules that apply in your country and theirs.
This matters. Cold outreach is regulated differently across jurisdictions. LaunchPilot gives you the tools and the approval step; it does not make your outreach lawful. If you send at volume, take advice on the rules that apply to you.

You can delete any contact or lead from the app at any time, and deletion removes it from our systems as described in section 7.

Who we share data with

We do not sell your data and we do not share it for advertising. We use a small number of service providers to run LaunchPilot:

  • Hosting and database — to store your account and your work.
  • AI provider — to generate drafts and suggestions, as described in section 4.
  • Email delivery — to send account emails such as verification codes.
  • Payment processing — when you subscribe to a paid plan. We never see or store your full card details.

Each provider is bound by contract to process data only on our instructions. We may also disclose data where required by law.

Where data is stored and for how long

Data is stored on servers operated by our hosting providers. Because we operate from Singapore and use international infrastructure, your data may be transferred outside your country, including outside the European Economic Area. Where required, such transfers rely on appropriate safeguards such as the European Commission's standard contractual clauses.

We keep your account data for as long as your account is active. If you delete your account, we delete your personal data and your connected credentials within 30 days, except where we are required to keep records for legal or accounting purposes. Backups are overwritten on a rolling basis.

Your rights

Depending on where you live, you may have the right to access the personal data we hold about you, correct it, delete it, restrict or object to its processing, and receive a copy in a portable format. You can exercise most of these directly in the app; for anything else, write to us.

If you are in the European Economic Area or the UK and believe we have handled your data improperly, you have the right to complain to your local data protection authority.

Security

Access tokens and API keys are stored encrypted. Access to production systems is restricted and authenticated. Traffic between your browser, our servers, and the services we integrate with is encrypted in transit.

No system is perfectly secure. If a breach affects your personal data and creates a risk to you, we will notify you and the relevant authority as required by law.

Changes and contact

If we make a material change to this policy we will update the date at the top of this page and notify you in the app or by email before the change takes effect.
